Use Copilot in PowerPoint to turn a quarterly L&D report into a review deck

What This Does
You have written the quarterly learning report in Word. Now leadership wants slides. Copilot in PowerPoint can draft a presentation from a Word document, so you start from a structured first draft and spend your time on the message instead of the layout.
Before You Start
- Copilot in PowerPoint needs a Microsoft 365 Copilot license, and your company may not have bought one. Microsoft's page says that if you do not see Copilot, it may not be included in your subscription or may be turned off by your organization. Look for the Copilot icon at the bottom right of a slide. If it is missing, ask your IT admin, and see Microsoft's Copilot pages for licensing.
- Your report is a finished Word document that uses heading styles, and it is saved where you can reach it.
- You have your company's standard presentation template.
Steps
1. Start from the template
Microsoft's page recommends starting with your organization's template before you generate anything, so Copilot keeps the theme and existing layouts.
2. Tidy the Word report
Microsoft says that Word styles help Copilot understand the structure of the source and how to split it into slides. Check that section headings use real heading styles. Microsoft also notes that Copilot works best with Word documents smaller than 24 MB, and it tries to include relevant images from the document.
3. Ask Copilot to create the presentation
In a new presentation, select the Copilot icon at the bottom right. Microsoft's page describes an Add Content button in the chat box and an Agent Mode option for drafting a new presentation from a prompt. The same page also mentions creating a presentation from a file, and says that referencing files in Agent Mode is coming soon. Menus vary by version, so look for an option to create a presentation from a file and choose your report. Ask for what you want:
Create a 10 to 12 slide presentation for the leadership team from my quarterly L&D report. Lead with the three headline results and finish with the decisions I need from them. Add speaker notes.
Copilot may ask about audience and style first. You can answer or let it decide.
4. Refine the outline, then the slides
Copilot can produce an outline first. Push back on it before it builds the slides. Move the decision slide up if the ask matters most.
5. Check every number against the report
Open the report next to the deck. Read each figure, date and program name on each slide against the source. The output is AI-generated, and Microsoft says it should be human-reviewed and edited.
Real Example
Scenario: It is the last week of the quarter, and the COO gets fifteen minutes on Thursday.
What you type: The prompt above, with your template open and the Word report chosen as the source.
What you get: A draft deck with a title, an executive summary, program results, a budget slide and a decisions slide, plus speaker notes. You cut two slides, correct a completion figure that Copilot rounded differently from your report, and rewrite the recommendation slide in your own words.
Tips
- Tell Copilot who is in the room. A deck for the COO should look different from one for HR.
- Ask it to leave a chart placeholder wherever you plan to paste your own data.
- Keep the Word report as the source of truth. Fix errors there and regenerate if the changes are large.
A Note on Your Data
A quarterly report can include named cohorts, spending against budget and comments about programs that are being cut or reshaped. Take out anything that leadership or the vendor has not seen yet, and check with your company's policy before Copilot reads a report that mentions an unannounced reorganization.
Tool interfaces change. If a button has moved, look for similar AI, Copilot or Gemini options in the same menu area.
